SAM.gov Registration Checklist: Prepare Before You Start

Prepare for SAM.gov registration with an entity-information checklist, account ownership plan, validation review, and clear active-status checks.

The practical answer

Prepare accurate entity information, retain company control of account access, and distinguish a Unique Entity ID from a completed registration. SAM.gov registration and maintenance are free through the government.

Choose the action your business needs

Start at the official SAM.gov entity-registration page. Determine whether you need a full registration or only a Unique Entity ID (UEI). The government provides both paths; a UEI by itself does not mean an entity has completed registration for direct federal awards.

Prepare a consistent entity-information record

Use the current official registration checklist to identify the information required for your registration type. Assign a company owner to collect records and resolve discrepancies. A common planning problem is that different contributors use different versions of the business name, address, or contact information.

  • Confirm the legal entity name and relevant supporting business records.
  • Review the physical address and contact information for accuracy.
  • Identify the company representatives responsible for the registration.
  • Prepare applicable tax, payment, business-activity, and other requested information using a secure process.
  • Identify questions about representations and certifications that need an authorized company answer.

This list helps organize the work; the official checklist determines the requested fields. Do not paste financial identifiers or account credentials into a public contact form while arranging assistance.

Keep account access accountable to the company

Decide who will maintain the account and who can respond to validation questions. Use the service’s supported access and role process. A consulting engagement should leave the company with clear ownership of its records and a way to maintain access after personnel change.

Treat validation questions as an action queue

Maintain a short log of the issue, official request, response owner, supporting material, and date answered. Respond through the designated channel. Avoid starting another entity record simply because the existing record is waiting on a clarification; first identify what is actually blocking progress.

Verify the final state

Check the actual registration status and relevant entity details in SAM.gov. “Started,” “submitted,” and “active” describe different states. Save a suitable confirmation for internal records, identify the maintenance owner, and plan the next review.

Decide whether professional help fits

Federal Bid Partners (FBP) offers optional professional assistance with SAM registration. Any FBP service fee is for assistance, not a government registration charge. Confirm deliverables, responsibilities, access arrangements, and exclusions before engaging. You can also complete the government process directly and use the free resources linked by SAM.gov.

For a defense opportunity, keep entity registration and cybersecurity readiness on separate workstreams. An active SAM registration does not establish CMMC status. Use CMMC Pulsar and the readiness guides only for the relevant cybersecurity preparation.

Common questions

Is SAM.gov registration free?

Yes. The government does not charge to get a UEI, register an entity, or maintain the registration. Optional third-party assistance has a separate professional-service fee.

Does a UEI prove the registration is active?

No. Verify the actual registration status and complete the appropriate registration path for your purpose.
